This role oversees the smooth running of the office by managing budgets, supervising administrative staff, maintaining records, and supporting project and management teams with documentation and compliance requirements.

Main Responsibilities:

  • Manage daily administrative operations to ensure efficient functioning of the office, including reception, correspondence, record-keeping, and office supply management.
  • Coordinate workflow and administrative processes between departments, ensuring smooth communication and timely completion of engineering project documentation.
  • Implement and maintain administrative systems including project tracking, client database management, and document control for engineering projects.
  • Supervise and support administrative staff, including training, performance monitoring, and allocation of duties.
  • Coordinate meetings, appointments, and travel arrangements for directors, project managers, and visiting clients.
  • Ensure compliance with workplace health and safety (WHS) requirements and liaise with external suppliers and contractors where necessary.
  • Prepare reports, presentations, and business correspondence for internal and external stakeholders.
  • Assist in recruitment and onboarding of administrative and project support staff, ensuring HR policies and procedures are followed.
  • Manage client inquiries and communications to ensure prompt and professional service delivery.

Requirements:

  • At least 5 years of proven experience as an Office Manager.
