Medical Receptionist Job Description

We are seeking a friendly and organized Medical Receptionist to join our growing healthcare team.

In this role, you will work at the front desk of our medical clinic and assist our patients and other visitors. Your primary duties will include greeting and checking in patients, answering questions, collecting patient co-pays, processing paperwork, and scheduling appointments.

  • Greet patients and other callers in a professional and courteous manner.
  • Make appointments for patients, ensuring timely follow-ups and minimizing wait times.
  • Ensure medical records are managed confidentially and efficiently, adhering to data protection regulations.
  • Accurately process patient payments via cash, EFTPOS, and direct bill transactions, maintaining accurate financial records.
  • Invoice Medicare, Private Health Funds, TAC, Workcover, and other relevant authorities, ensuring seamless billing and reimbursement processes.
  • Knowledge of the MBS schedule and correct billing procedures is essential for this role.
  • Deal with referring doctors, hospital staff, pharmacists, etc., courteously and helpfully, fostering strong relationships within the healthcare community.
  • Attend to patient inquiries, providing empathetic and informative responses to their concerns.
  • Check and handle internal emails, ensuring prompt communication and response times.
  • Fulfill roster duties when staff are away, on holidays, or sick leave, demonstrating adaptability and flexibility.
  • Maintain the reception waiting area and consulting rooms tidy, including spill cleanup if necessary, upholding high standards of hygiene and cleanliness.
  • Ensure the accurate storage and retrieval of patient and practice records with scanning, faxing, and filing of documents, adhering to data management best practices.
  • Maintain confidentiality of patient personal and financial information at all times, respecting patient trust and dignity.
  • Complete recalls, reminding patients of scheduled appointments and ensuring timely attendance.
  • Support the day-to-day operations of the medical centre, contributing to a smooth and efficient workflow.
  • Exceptional customer service and teamwork skills are essential for success in this role.
