We are seeking an organised and proactive Operations Team Coordinator to play a vital behind-the-scenes role in supporting operational excellence across our national village network.

This is a key coordination role that ensures our operations team functions smoothly, efficiently, and to the highest standards. You will provide high-level executive support to the Chief Operations Officer, manage core business processes and documentation systems, and facilitate the delivery of critical team meetings, forums, and reporting.

Key Responsibilities:

  • Provide Executive Assistance to the COO, including calendar, travel, board reporting, presentations, and email management
  • Coordinate regular operations meetings and forums across the business
  • Manage the Operations Quality Documentation and RL Hub (SharePoint), ensuring all processes, policies, and templates are accurate, compliant, and up-to-date
  • Own the resident journey documentation and ensure integration into business-as-usual practices
  • Support project delivery, state forums, and the annual Retirement Living Census
  • Oversee Melbourne office operations, including amenities, invoices, contractor liaison, and staff onboarding/offboarding
  • Collaborate with cross-functional stakeholders to improve processes, enhance communication, and drive a high-performance culture
