Facilities Operations Specialist

We are currently seeking a highly motivated and organized individual to fill the role of Facilities Services Assistant. This is a permanent full-time position that requires strong problem-solving skills, excellent communication abilities, and a proactive approach.

Key Responsibilities
  • Monitor and manage the Service Now works queue to ensure timely assignment of service requests.
  • Manage the In Vehicle Monitoring System (IVMS), including driver fobs, Geotab dashboard, and producing IVMS reports.
  • Coordinate emergency evacuation management, training sessions, fire wardens, and evacuation plans.
  • Assist with accommodation requests, staff relocations, floor plan updates, and maintaining accommodation spreadsheets.
  • Support incident investigations, make recommendations, and facilitate corrective actions.
  • Update hazards in the Hazard Management Tool and contribute to the monthly Hazard Management Committee.
  • Onboard new staff, provide authorized access levels, and maintain key cabinets.
  • Maintain content on the intranet site and knowledge articles for the Facilities Services business unit.
  • Manage various office equipment, stationery orders, and corporate devices.

Requirements
  • Prior experience in a general administrative or facilities services position.
  • 3+ years' experience supporting trades activities (desirable).
  • Strong problem-solving and analytical skills.
  • Excellent written and verbal communication skills.
  • Proven ability to work well in a team.
  • Exceptional time management and prioritisation skills.
