Job Overview

This role is an exciting opportunity to join our workplace team as a part-time Workplace Assistant.

The successful candidate will be responsible for ensuring compliance with all safety, health, environment, and quality obligations.

  • Ensure the workplace remains safe and functional by maintaining a high level of housekeeping and organisation.
  • Assist the Workplace Manager in various tasks, including reception and concierge services.
  • Handle ad-hoc requests from the business and team members efficiently.
  • Support new starters with inductions and provide assistance with staff lockers.
  • Liaise with cleaning contractors and manage meeting room equipment effectively.

As a key member of the workplace team, you will play a vital role in creating a seamless Front of House (FoH) experience.

Responsibilities
  1. Co-ordinate both reactive and scheduled maintenance across the workplace.
  2. Field and forward inquiries, ensuring a world-class client experience.
  3. Provide technical AV support and assist with internal and external events.
  4. Handle procurement of stationery, office equipment, and consumables.
  5. Manage finance-related tasks, including invoicing and cost recovery.
  6. Conduct regular tenancy audits for SHEQ compliance.
  7. Coordinate repairs, services, and maintenance of tenanted areas and equipment.
  8. Assist in managing security systems, electronic access, and alarms.
  9. Handle staff and visitor security passes and liaise with building management.

You will also have opportunities to identify areas for improvement in our services and contribute proactively to a strong team environment.

About You

To succeed in this role, you must have:

  • A high school diploma or equivalent.
  • Be confident with technology and able to learn processes quickly.
  • Have excellent communication and relationship-building skills.
  • Remain calm, focused, and effective under close scrutiny and in time-critical situations.
  • Have sound knowledge of MS Office applications.
  • Have strong organisational and time management skills.
  • Be a self-starter who can work independently but also contribute to a strong team environment.
