Role Responsibilities:

The Administrative Support Specialist will deliver comprehensive administrative assistance to the General Manager and the facility. Key responsibilities include:

  1. Delivering a customer-centric reception service, addressing inquiries efficiently.
  2. Providing administrative support to managerial staff, encompassing tasks such as typing, photocopying, filing, and handling phone inquiries.
  3. Managing employee rosters in accordance with staffing needs.
  4. Reviewing timesheets and ensuring accuracy as per roster requirements.
  5. Coordinating replacement staff during unexpected absences.
  6. Responding promptly to all inquiries and directing compliments or complaints to the General Manager.
  7. Overseeing the procurement of office supplies to maintain operational efficiency.
  8. Preparing reports and documenting meeting minutes as necessary.
  9. Facilitating the distribution of the facility's resident newsletter.
  10. Maintaining the key register and ensuring compliance with key management protocols.
  11. Collecting and distributing mail daily.
  12. Ensuring timely dispatch of outgoing mail.
  13. Managing facility evacuation kits.
  14. Performing additional tasks as directed by the organization.

Qualifications:

Essential:

  1. Completion of a minimum Certificate of Education or equivalent.
  2. Proficient knowledge of office procedures.
  3. Exceptional customer service skills.
  4. Advanced proficiency in computer and word processing applications.
  5. Experience in cash handling and banking.
  6. Current NDIS Worker Screening or National Police Certificate as applicable.
  7. Recognized qualification (Cert III) in business administration.
  8. Experience in administration within the aged care sector.

Desirable:

  1. Experience in managing employee rosters and leave management.
