As an experienced Administration Assistant at RSM Australia, you will support the office with general administration tasks.

Key Responsibilities:

  • Answer all incoming calls at the Reception desk using the Avaya telephone system with 30 incoming lines and approx 110 extensions.
  • Transfer phone calls throughout the office professionally.
  • Take and deliver messages within the office accurately.
  • Meet and greet visitors to Reception as a backup.
  • Email phone messages in a timely and professional manner.
  • Maintain bookings for meeting rooms and resources.
  • Download and send ATO reports to clients in a timely manner.
  • Deliver post to the post office at the end of the day.
  • Maintain Social Media posts.
  • Bind with RSM software of financials to send to clients.
  • Maintain the client database, ensuring it is up-to-date.
  • Perform Local Office Cloud Administrator duties.
  • Assist in onboarding and offboarding clients.
  • Set up company volumes in the office.
  • Set up trust folders and ensure the trust list is up-to-date.
  • Maintain the staff leave calendar.
  • Assist in bookkeeping to prepare quarterly client coding.
  • Manage meetings through Lotus Notes and other applicable applications.
  • Provide general administrative support to the office as required.
  • Adhere to the Firm's policies, procedures, and guidelines.
  • Ensure all work is conducted in a safe and healthy environment.
  • Perform other duties as assigned.
