Job Overview
We are seeking a highly organized and detail-oriented professional to provide administrative support in our service department.
Key Responsibilities:
- Establish and maintain job folders and files for each service job in cloud-based storage systems.
- Coordinate with clients to arrange delivery of tools and scheduling of services nationwide.
- Notify clients of tool arrival and expected repair timeframes.
- Enter service quotes into business management software.
- Obtain quotations from third-party vendors for non-HYTORC tooling.
- Verify parts availability prior to confirming service deliverables.
- SOURCE and prepare paperwork for loan equipment.
- Obtain purchase orders from clients that align to service quotations.
- Collaborate with the Service Manager to prioritize and schedule service jobs.
- Send out routine service reminders to clients for upcoming scheduled servicing.
- Organize travel/accommodation for technicians as required for remote service work.
- Process warranty claims, fill out forms for techs.
- Collate PO's and service quotes on job completion.
- Invoice service jobs.
- Provide overall administrative support to the Service Manager.
- Update the service/repair and serial logs daily.
Secondary Responsibilities:
- Active involvement in the ongoing compliance and maintenance of service assets such as vans and workshops.
- Assist with the development and management of internal policies and procedures such as ISO 9001-2015 and NATA accreditation.
- Prepare and update Safe Work Method Statements.
- Assist with stock control and monitoring stock re-order levels for technicians.
- Update HYTORC loan/rental equipment logs/software when implemented - for service loan tools only.
- Send, receive, and file calibration reports.
- Contribute to the continual improvement, design, and maintenance of service systems.
Requirements:
- Experience with business management software such as MYOB or XERO.
- Minimum 2 years' experience in a service or maintenance administration environment.
- Strong understanding of quoting, invoicing, and basic business practice.
- Excellent attention to detail and ability to work under pressure to tight deadlines.
- High computer literacy including use of word, excel, outlook, drop-box & cloud-based systems.
- Ability to prioritize jobs and multitask efficiently.
Desirable Skills:
- Exposure to a mechanical workshop environment would be beneficial.
Relationships:
- This position reports directly to the National Service Manager and has a primary function of supporting service technicians nationwide.
- The success of this position will depend on the ability of the Service Administrator to develop strong working relationships with key stakeholders including Regional GM, National Service Manager, Office Manager, Service Technicians, Administrative Support Staff, Sales Agents, and HYTORC Customers.
