Regular reporting on project and resource status is a key responsibility.

Key Responsibilities:

  • Support the Director, Managers, and Project Managers in the planning and execution of IT projects, addressing daily communications as necessary.
  • Develop and uphold confidential, detailed project documentation, including budgets, timelines, issue/action logs, risk assessments, project reports, and status updates.
  • Organize, coordinate, attend, and document minutes for workshops and meetings.
  • Assist in sourcing services and materials.
  • Facilitate the creation of project timelines, consistently updating and reporting on project progress to Project Managers.
  • Adhere to processes ensuring project alignment with corporate governance standards.
  • Propose, implement, or suggest innovative ideas or processes that enhance productivity and elevate work quality and performance.
  • Coordinate activities of resources and vendors, including time tracking.
  • Process purchase orders, change orders, and manage invoice approvals.
  • Establish and maintain document storage systems.

Qualifications:

  • A post-secondary degree or diploma in Computer Science, Business, or a related IT field is preferred.
  • Project Management certification (PMP/CAPM) is advantageous.
  • Experience in project administration within IT, with a strong proficiency in Microsoft applications such as Word, Excel, PowerPoint, Outlook, and Project.
  • Familiarity with tracking project and program issues, risks, and changes is beneficial.
  • Experience with project financial management is a plus.
  • Proven ability to follow through on commitments and take responsibility for work, actions, and decisions.
  • Capacity to apply original and innovative thinking to generate new ideas and solutions.
  • Proactive in acquiring new knowledge and skills; adept at navigating ambiguity and encouraging adaptability in others.
  • Ability to cultivate positive and collaborative relationships with stakeholders, fostering trust through alignment and transparency.
  • Demonstrated focus on achieving results while maintaining high-quality standards and meeting completeness requirements.
  • Strong commitment to quality assurance.
