Job Summary

We are seeking a highly organized and detail-oriented Assistant Facilities Manager to join our team at JLL. As a key member of our facilities team, you will be responsible for coordinating and managing vendors to ensure compliance and meeting key performance indicators (KPIs). You will also be involved in the delivery of services to operate and maintain our properties.

Key Responsibilities
  • Assist in managing workplace health and safety (WHS) and compliance activities
  • Manage vendors, including inductions, review of safe work methods statements (SWMS) and job safety analyses (JSAs), and vendor meetings
  • Report incidents and assist in compliance audits
  • Understand statutory compliance requirements and assist in compliance audits
  • Act as the first point of contact for clients and contractors on allocated properties
  • Coordinate with clients and contractors to deliver reactive and preventative maintenance work orders through JLL's Work Order Management system (Corrigo)
  • Use existing procedures to solve routine or standard problems
  • Set up new vendors, process invoices, and manage budgets
  • Assist in managing and delivering minor works through the procurement process
  • Assist in delivering annual building inspections
Requirements
  • Strong organizational, administration, and communication skills
  • High levels of communication and interpersonal skills
  • Passion for providing quality customer service and attention to detail
  • Ability to manage tight schedules and deliver high-quality work
  • Tertiary qualification in property, facilities, or construction management (desirable) or 2+ years of experience in facilities, property management, or a related field
  • Australian citizenship and ability to obtain and maintain an Australian Government Security Clearance (minimum Negative Vetting 1 (NV1) security clearance preferred)
  • Strong knowledge of HS&E requirements
  • Strong knowledge of vendor management
  • Proven ability to commit flawless execution while complying with procedures and standards
