Job Title: Facilities Manager

About the Role:

We are seeking a highly skilled and proactive facilities professional to manage a diverse portfolio of client sites. This role involves supporting the facilities manager in completing all duties, managing critical incidents, maintaining high-quality facilities, and ensuring compliance with SLA and legislative requirements.

Main Responsibilities:

  1. Manage and communicate critical incidents and recovery plans to stakeholders.
  2. Maintain a high-quality facility through diligent reviews of all maintenance activities, including audits and vendor performance meetings for reactive and programmed works.
  3. Interface between the landlord and the client business operationally, including attending LL meetings and reporting as required.
  4. Monitor and assess completed sub-contractor works to ensure they meet SLA and compliance standards.
  5. Establish, maintain, and manage the asset lifecycle plan for all plant and equipment, ensuring the Asset Register remains up-to-date.
  6. Induct contractors and ensure all compliance, legislative requirements are met and maintained.
  7. Foster innovation and continuous improvement of processes and services.
  8. Develop an annual budget for sites, including reforecasts for investments and maintenance, both reactive and planned.
  9. Monitor system transactions and documentation to ensure data integrity and KPI achievement.
  10. Assist with audits, including spot-checks of transactions and documentation for data integrity and compliance.
  11. Leverage technology to enhance performance and processes.
  12. Keep process documentation current and maintain database and filing systems.
  13. Approve invoices, reconcile reactive maintenance invoices, and manage invoice exceptions.
  14. Support facilities manager with financial administration, reporting, and P&L statements.
  15. Provide relief and support to peers as needed.
  16. Represent the business professionally at negotiations, conferences, and events.
  17. Comply with all health, safety, and environmental policies and procedures.
  18. Operate in an environmentally responsible manner.
  19. Prepare and submit detailed business cases when required.
  20. Build and maintain effective relationships with internal teams and external service providers.
  21. Promote a 'one team' culture.
  22. Manage Work Orders efficiently within 30 days.
