About the Role

The Administrative Manager will play a critical role in ensuring the smooth operation of our office while providing high-level support to the firm's executives. This unique position combines traditional office management duties with business administration, contributing to both the operational and strategic success of our firm.

Key Responsibilities

Office Management

  • Oversee daily office operations to ensure a productive and well-organised workplace.
  • Manage and support administrative staff, fostering a collaborative and efficient environment.
  • Develop, implement, and maintain office policies and procedures, ensuring compliance with company standards.
  • Handle general inquiries and client communications, ensuring a professional and welcoming environment.
  • Manage office supplies, coordinate IT support, and oversee event coordination.

Personal Assistance

  • Provide comprehensive administrative support to the Managing Partner and senior managers, including calendar management, meeting scheduling, and handling correspondence.
  • Prepare and edit documents, reports, and presentations for internal and client use.
  • Coordinate travel arrangements and act as a liaison between senior management and other staff, clients, and external partners.

Business Administration

  • Manage the firm's marketing efforts, including social media accounts, content creation, and engagement with followers.
  • Liaise with external vendors for marketing services, including designers, printers, and digital marketing agencies.
  • Manage the client onboarding process, ensuring a smooth and efficient experience for new clients.
  • Prepare and distribute client documentation and verify ensuring compliance with regulatory requirements.
  • Assist with basic accounting tasks, including invoice processing, expense reporting, and budget tracking, and oversee the admin team's accurate processing of AP & AR.

Experience, Attributes, Skills

Proven experience as an Administrative Manager, preferably within an accounting or professional services firm.

Strong moral compass, willingness to learn, and the ability to develop & lead a small admin team professionally and with humility.

Exceptional communication, organisation, time management, and multitasking skills with the ability to prioritise and delegate tasks effectively.

Systems savvy, Microsoft Office and familiarity with XERO accounting software.

Meticulous attention to detail, a keen eye for process improvement, and strong problem-solving abilities.

A degree or diploma in Business Administration or a related field is preferred.
