Key Responsibilities:
As the Executive Assistant, you will play a crucial role in ensuring the efficient operation of the team. Your responsibilities will encompass administration, organization, and relationship management to effectively support your director. The role includes, but is not limited to, the following duties:
Executive Support:
Oversee email communications, responding to critical issues and systematically organizing correspondence and documents. Manage confidential and sensitive information with the utmost discretion and professionalism. Coordinate and oversee the executive's calendar, scheduling in-person meetings, teleconferences, and video calls, as well as securing appropriate meeting venues. Act as a professional liaison for clients, including welcoming and assisting visitors. Arrange all travel logistics, from creating business cases to preparing itineraries, booking flights, accommodations, and transportation. Prepare documents, presentations, and administrative materials with great attention to detail. Compile meeting agendas, take minutes, arrange catering, and fulfill ad-hoc requests for both internal and external meetings. Demonstrate a solid understanding of office protocols, taking initiative and working independently while also contributing as a team member. Foster teamwork and drive social initiatives within the business unit. Financial and Operational Support:
Coordinate and manage reports, assisting with deal tracking, fee forecasting, and budget reporting. Process expense claims, including corporate credit card and personal reimbursements, ensuring necessary approvals are obtained. Monitor recoverable and non-recoverable costs. Facilitate the creation and payment processes for suppliers, including handling invoices. Oversee onboarding and offboarding procedures for new hires and departing employees. Assist the executive with HR and legal matters, such as annual leave, policies, and non-disclosure agreements. Event Coordination:
Organize team and client events, managing budgets, schedules, guest lists, invitations, catering, venue bookings, and entertainment. Purchase event tickets for staff and clients as required. Qualifications:
Completion of Year 12 Level Education / TAFE or Business Studies. A minimum of 5+ years' experience providing high-level support to Senior Executives. Experience in the property or commercial real estate sector is advantageous. Strong proficiency in Microsoft Office Suite and calendar management tools. Exceptional organizational skills and meticulous attention to detail. Excellent communication skills with the ability to manage confidential information.
