Part-Time Event Support Assistant

The Company:
Apex Event Recruitment is a leading recruitment agency specializing in event management positions. We are seeking an Event Admin Assistant to join our team on a part-time short-term contract.
Position Terms:
- Part-Time 4-6 Week Contract
- Working 3 days a week in the office; Mon, Tues & Thurs
- $30 - $40 an hour plus super
- ABN is desirable, but not essential
The Role:
The Event Admin Assistant will provide administrative support to our event management team, ensuring the smooth execution of key events and programs. This role involves managing day-to-day administrative tasks, assisting with event coordination, maintaining project timelines, and supporting stakeholder communication.
Key Responsibilities include:
- Maintaining and updating registration lists for events and meetings.
- Ensuring all attendee information is accurate and up to date.
- Managing RSVPs and communicating any changes to relevant team members.
- Maintaining and updating the membership management spreadsheet, including adding new members and recording updates from membership meetings.
- Managing and updating the event calendar, including adding public holidays, upcoming meetings, and important project deadlines.
- Supporting the development and management of event run sheets, ensuring all event logistics and timelines are accurately reflected.
- Attending team meetings and taking detailed notes, including recording action items and distributing them to team members following the meeting.
- Assisting with the collation of materials and papers for upcoming events.
- Assisting in tracking project timelines and identifying potential issues to ensure timely project delivery.
- Providing general administrative support to the project team as needed, including printing, filing, and document management.
The Ideal Candidate:
We are seeking a highly organized and detail-oriented individual with exceptional event administration skills. The ideal candidate will have experience with CRM systems, proficiency in Microsoft Office Suite, and strong communication skills.
- Strong organisational skills: Ability to manage multiple tasks, prioritise effectively, and maintain an organised workflow.
- Attention to detail: Ensuring accuracy in data entry, meeting notes, and event logistics.
- Experience with CRM systems
- Proficiency in Microsoft Office Suite
- Strong communication skills: Both written and verbal, with the ability to interact professionally with team members and external stakeholders.
- Time management: Ability to meet deadlines and manage time effectively in a fast-paced environment.
- Ability to work in the office 3 days a week.
