About the Role

We are seeking a highly skilled Project Coordinator to join our team based in Brisbane. As a key member of our project management team, you will be accountable for coordinating complex engineering projects and associated tasks.

  • Create and maintain detailed project schedules, action logs, and risk registers to ensure timely delivery and minimize potential risks.
  • Assist in the preparation and submission of project documentation, including proposals, reports, and tenders, to meet client expectations and industry standards.
  • Coordinate internal and external project meetings, including minute taking and follow-up actions, to facilitate effective communication and collaboration among stakeholders.
  • Manage resources and subcontractors to optimize project outcomes and ensure timely delivery.
  • Oversee project documents and contracts to ensure compliance with relevant regulations and industry standards.
  • Develop and implement new engineering projects/tasks and establish new clients/customer accounts within our system to drive business growth.
  • Process work orders in appropriate software programs/online portals to streamline project operations and improve efficiency.
  • Document relevant maintenance works to ensure accurate records and compliance with regulatory requirements.

Reporting and Resource Management

  • Assist with tracking project budgets and resource allocations to ensure optimal utilization of resources and minimize costs.
  • Provide financial reporting support, including monitoring of project costs, invoicing, and forecasting, to inform business decisions and drive profitability.

Quality Assurance & Compliance

  • Ensure project documentation meets relevant industry standards, client specifications, and regulatory requirements to maintain high-quality deliverables.
  • Support the implementation of QA/QC procedures and assist with audits to maintain a culture of excellence and compliance.

Client & Stakeholder Liaison

  • Serve as a primary point of contact between clients, consultants, and internal teams to facilitate effective communication and collaboration.
  • Support the communication flow and manage stakeholder expectations to ensure satisfaction and loyalty.

Health & Safety

  • Promote a strong HSE culture across project activities to ensure a safe working environment.
  • Ensure coordination of HSE documentation for site-based work in line with Queensland regulations to maintain compliance and minimize risks.

About You

This is an intermediate-level position requiring 5+ years of project coordination experience, preferably in engineering or technical consulting environments. Relevant tertiary qualifications in Construction Management, Project Management, Engineering, or related disciplines are essential. Proficiency in project management tools (e.g., MS Project, Primavera) and MS Office Suite is required. Excellent written and verbal communication skills, strong organizational and time management skills, and knowledge of relevant Australian Standards and WHS regulations are also necessary. Experience coordinating multi-disciplinary engineering teams is desirable.
