The Project Coordinator plays a crucial role in ensuring the successful planning, execution, and monitoring of projects. They are responsible for the establishment and maintenance of project documentation, including assisting in reporting of project financials, schedule and risk management activities.

This position requires an analytical and organised individual with a keen eye for detail. Communication skills, both verbal and written are critical for the role in view of the dynamic nature of projects required to be supported.

Key Responsibilities:

  • Assist with assessment of project risks and issues and provide solutions where applicable.
  • Assist in processing formatting, collating, and preparing documentation for submission to key internal and external stakeholders, e.g., customers and Senior Management.
  • Create and maintain a project management calendar for fulfilling each goal and objective.
  • Track correspondence and ensuring timely responses from the relevant team and contractors to all issues arising.
  • Manage and track the administrative aspects of sub-contractor management.
  • Maintain all project records within the Document Control System.
  • Create and maintain project related Jira tickets.
  • Manage and track the administrative aspects of sub-contractor management.
  • Ensure all Requests for Information are directed to the appropriate team member.
  • Ensure all open actions are followed through in a timely manner.
  • Attend and participate in project meetings on behalf of the associated project manager as required.
  • Provide high quality, timely customer service to both internal and external customers.

Qualifications, Skills and Experience

Essential:

  • Proven experience as a project coordinator or related roles, preferably within defence industry; 3+ years experience.
  • Ability to work independently and within a team environment.
  • Proven experience with project management of multi-disciplined teams.
  • Diploma of Project Management or above.
  • NV1 Security clearance.

Desirable:

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
  • PMP (Project Management Professional) or relevant certifications in program management are desirable.
  • Agile delivery experience.
