Executive Assistant to Director General

About the Role
The APS 4 Executive Assistant will be required to deliver high-level executive support to the Director General Integrated Air and Missile Defence in an exciting fast-paced environment.
Key Responsibilities
- Perform 'front of office' support functions, including greeting visitors, receiving and responding to enquiries, with a sound knowledge of managing schedules, coordinating meetings, forecasting calendar requirements and handling multiple tasks efficiently
- Identify time conflicts and the ability to present a solution
- Effectively build and sustain relationships in order to work collaboratively within the work area and other areas of Defence
- Liaise with stakeholders and visitors of all levels, building good working relationships and providing a point of contact for assistance and general enquiries
- Display initiative and apply sound judgment in providing executive and administrative assistance
- Arrange, coordinate and reconcile all aspects of domestic and international travel in line with Defence Travel Policy
- Maintain records management systems in line with Defence policies and procedures.
About Our Team
The team consists of the Director-General, a 1* Officer and the Staff Officer. The relationship between the DG, the EA and the SO is pivotal for Branch success. The EA supports the DG by managing schedules, meetings, travel and overall time management, enabling the DG to focus on strategic priorities. Meanwhile, the SO plays a crucial role in bridging the gap between the DG's direction and day-to-day taskings. Together, they form a cohesive and balanced executive team. This approach fosters an environment of trust and collaboration.
Our Ideal Candidate
The successful candidate will possess a unique blend of skills and attributes essential for effective support to the DG. They will excel in organisational skills, managing schedules and have strong verbal and written communication abilities. Discretion and trustworthiness are paramount, as they will often handle sensitive information. A proactive attitude is required to anticipate the Branch needs and take initiative, while adaptability ensures they can adjust to changing priorities. The successful candidate will be proficient with Microsoft office, adobe and Defence used tasking tools to enhance efficiency, and strong interpersonal skills to foster positive relationships.
