Job Description

Role Summary

This is an exciting opportunity to join our client as an Executive Assistant to our Managing Director. You will be responsible for providing high-level administrative support to our MD, ensuring the smooth operation of the office and contributing to the success of our team.

Key Responsibilities

  • Manage the MD's calendar, coordinating internal and external meetings, including board meetings, investor relations, and high-profile events
  • Arrange travel logistics for domestic and international travel, ensuring seamless execution and timely arrival
  • Manage all forms of communication for the MD, including emails, phone calls, and correspondence
  • Organise and support board meetings, including preparation of agendas, minutes, and board packs, catering, and refreshments
  • Track and follow up on key action items from meetings, ensuring timely completion and resolution
  • Build strong relationships with Board members and external stakeholders, fostering a collaborative and supportive environment
  • Maintain the ASX announcements email list and update the company website, ensuring accurate and timely information
  • Prepare AGM, announcements, and presentations, showcasing our company's achievements and progress
  • Coordinate investor roadshows twice a year, engaging with investors and promoting our company's vision
  • Oversee office management, ensuring a productive and efficient working environment
  • Perform other ad-hoc administration duties as required, demonstrating flexibility and adaptability

Requirements

  • Experience as an Executive Assistant supporting senior management within a corporate office is essential
  • Experience working in an ASX listed company is preferred
  • Strong time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Strong communication skills, with excellent verbal and written communication skills
  • Alignment on company values, with a strong understanding of our company culture and values
  • Strong relationship building skills, with the ability to build and maintain strong relationships with stakeholders
  • Comfortable working in a fast-paced environment, with the ability to adapt to changing priorities and deadlines
  • Experience working with Board meetings, with a strong understanding of meeting procedures and protocols
