Job Summary

We are seeking a highly organized and detail-oriented Document Controller to join our team at IIQAF. As a key member of our operations team, you will be responsible for preparing, managing, and filing documents for our projects.

Key Responsibilities

  • Copy, scan, and store documents in a secure and easily accessible manner.
  • Review and edit files, such as contracts, to ensure accuracy and completeness.
  • Update technical documents, including manuals and workflows, to reflect changes and improvements.
  • Distribute project-related documents to internal teams and stakeholders.
  • File documents in both physical and digital records, ensuring easy retrieval and maintenance.
  • Create templates for future use to streamline document creation and management.
  • Retrieve files as requested by employees and clients, maintaining confidentiality and discretion.
  • Manage the flow of documentation within the organization, ensuring compliance with company policies and procedures.
  • Prepare ad-hoc reports on projects as needed, providing valuable insights and data to support business decisions.

Requirements

  • Proven work experience as a Document Controller or similar role, with a strong track record of accuracy and attention to detail.
  • Familiarity with project management principles and practices.
  • Basic knowledge of labor and corporate law, with the ability to apply this knowledge in a practical setting.
  • Hands-on experience with MS Office and MS Excel, with proficiency in data organization and analysis.
  • Knowledge of Electronic Document Management Systems (EDMS), with the ability to implement and maintain these systems.
  • Proficient typing and editing skills, with the ability to work efficiently and accurately in a fast-paced environment.
  • Data organization skills, with the ability to maintain accurate and up-to-date records.
  • Attention to detail, with the ability to identify and correct errors.
  • BSc degree in Project Management or a relevant field, with a strong academic record and relevant work experience.
