
Senior Administrator Role

This is a 12 month maximum term role based at our office location, requiring some travel and work in West Perth.
Main Responsibilities:- Managing diaries and inboxes: Coordinating schedules, meetings, and travel for senior leaders, balancing priorities and managing demands with professionalism and discretion.
- Preparing meetings and materials: Organising internal and external meetings, preparing agendas, briefing packs, and board papers, taking accurate minutes and tracking follow-up actions.
- Coordinating events and functions: Managing logistics such as venues, equipment, and catering, supporting business functions and team social events.
- Supporting financial and planning processes: Assisting with budgeting, forecasting, and financial reporting, processing invoices, expenses, and reconciliations, and contributing to annual and business planning.
- Enhancing administration and record-keeping: Maintaining accurate filing and records systems, coordinating archiving, and identifying opportunities to improve administration processes.
- Providing project administration support: Assisting with key Sales & Member Service or group initiatives and projects to ensure smooth delivery.
- Significant experience as a Personal or Executive Assistant, including roles as an Office Manager or Supervisor.
- Ability to work autonomously, employ initiative to find solutions, prioritise tasks, and exercise discretion.
- Excellent organisational and administration skills with a proactive and flexible approach to work.
- Strong interpersonal, communication, and negotiation skills with a demonstrated ability to build and maintain relationships.
- Relevant certification in Business/Secretarial studies and a Cert IV in Frontline Management are desirable.
- Ability to operate effectively in a values-based organisation, uphold confidentiality, and model behaviours.
- Skilled in planning and aligning work with organisational goals and applying financial acumen to make informed business decisions.
