
Office & Travel Manager

As an Office and Travel Manager, you are responsible for:
Office Management
- Manage office supplies, catering, stationery, and equipment needs.
- Review supplier agreements regularly to ensure best value.
- Maintain high presentation standards across reception, kitchen, and meeting rooms.
- Welcome all visitors to our Sydney Support office as the first point of contact creating a positive first impression of the H&M Brand.
- Coordinate internal and external events with cross-functional teams in line with our brand direction, guidelines and team engagement strategy.
- Collaborate with Function Managers for office updates and specific ad hoc requirements.
- Ensure timely processing of incoming invoices.
- Support new team member inductions in collaboration with relevant functions.
- Keep centralised tools (e.g. weekly movements, leave calendar, contact lists) updated and followed up.
- Provide support for new store openings as needed
Travel Management
- Act as the central contact for all travel-related needs.
- Ensure bookings are approved promptly and align with travel policy.
- Maintain accurate travel profiles and keep the booking system up to date.
- Negotiate with suppliers to secure optimal terms and conditions.
- Process travel-related invoices in a timely manner.
- Collaborate with Accounts to prepare travel reports for all functions.
- Provide ongoing support and training for system users.
- Promote a positive, engaging office culture and colleague experience.
- Provide exceptional service and support to all office team members.
- Communicate goals, updates, and feedback clearly and consistently.
- Plan and follow up on required office or travel related training initiatives.
WHO YOU’LL WORK WITH
Reporting to Country Sales HR Manager, the Office & Travel Manager will collaborate closely with various stakeholders across the organization, including the Country Sales Manager, Function managers and team members located in our Sydney Support Office. You may also work closely with our Area Teams on various initiatives or projects throughout the year. Due to the operational needs of this role, it is based on site in our Sydney CBD office.

- Confident communicators with strong presentation and interpersonal skills including giving and receiving constructive feedback.
- Passionate about creating a positive office environment and driving initiatives to support team wellbeing and office related events.
We are looking for people with:
- A strong sense of customer service, collaboration, and professionalism.
- Excellent planning, organisational skills, and attention to detail.
- Preferred experience in reception, administration, or office support roles.
- Strong verbal, written, and listening communication skills.
- Proficiency in Microsoft Office tools such as Excel, Word, and Outlook.
