About the role

Western Health is seeking a highly organised and proactive person to fill our Personal Assistant & Senior Program Coordinator - Nursing & Midwifery Leadership position. Playing a dual and pivotal role in supporting the strategic, professional and operational priorities of the Deputy Executive Director of Nursing & Midwifery (DEDONM) and Directors of Nursing & Midwifery (DONM), the successful candidate will provide high-level executive support to senior nursing leadership, ensuring efficient administrative and coordination functions are delivered with professionalism, accuracy, and discretion.

Simultaneously, the position is responsible for the effective scheduling, coordination, and logistical support of the Leadership Programs for Nursing & Midwifery.

Join us in driving excellence in nursing and midwifery through strategic support and leadership development initiatives.

Key responsibilities

- Provide high-level administrative support - Manage diaries, correspondence, meeting logistics, travel arrangements, and general office administration for DEDONM & DONM's while maintaining strict confidentiality and professionalism.

- Coordinate Nursing & Midwifery leadership program logistics - Oversee the planning, scheduling, and execution of Nursing & Midwifery Leadership Programs, including participants, materials, records, venue bookings, IT setup, and resource preparation.

- Manage meetings and communication - prepare agendas and minutes, track meeting actions, and maintain accurate digital records for ongoing meetings, projects, and documents.

- Liaise with stakeholders and program participants - act as a key point of contact for internal/external facilitators, guest speakers, and staff, ensuring clear communication and timely coordination for leadership programs.

- Support HR and Reporting Functions - Coordinate recruitment processes, onboarding and offboarding, maintain leave records, and contribute to project reporting, performance monitoring, and continuous improvement initiatives.

About you

- Strong organisational skills with the ability to manage multiple priorities, coordinate complex schedules, and handle logistics efficiently.

- Exceptional written and verbal communication skills, with a professional and courteous approach to all stakeholders.

- Discretion and confidentiality with demonstrated ability to work with sensitive information and support executive-level decision-making with integrity.

- Attention to detail with a high level of accuracy in administrative tasks, data management, and event coordination.

- Proactive and collaborative: A self-starter with initiative and a collaborative mindset, capable of working independently and within a team.
