The Role

Our Hobart bureau is looking for a Facilities Coordinator to help manage the various aspects of the building and its associated grounds. This role involves working with a wide and diverse group of people including the Property team, security, cleaning, contractors, tenants as well as regional, local, and external stakeholders. You will manage tenant inquiries, building repairs, after weather events, grounds maintenance, and other issues to support the location.

This role requires business acumen and strong ability to juggle competing priorities and deadlines.

The Job

Reporting to the local Facilities Manager, you will be the first point of contact for the building. Your responsibilities will include:

- Administration and work order management of all ABC Property systems (ServiceNow, SINE, C4 etc.) used by the property team and ensure efficiencies.

- Liaise with tenants, managing inquiries and escalating issues involving the property and the car park.

- Ensure WHS documentation meets all compliance and legislative standards and is audit ready using appropriate systems.

- Check contractors meet all WHS compliance and legislative requirements while on ABC sites.

- Coordinate contractors to maintain a secure, safe, and well-functioning work environment and get the most out of our facilities.

- Ensure all ABC Media operations are seamless and uninterrupted.

- Schedule and communicate preventative maintenance for assets, coordinate repairs and supervise contractors for maintenance and repair of assets.

- Coordinate car parking requirements and other office requests, support warden training.

You will have a cooperative attitude and team-support approach with a high customer service focus. If you are trade qualified, have worked in a customer service role (e.g., concierge, hospitality, retail, cleaning) or have facilities management experience, this will be highly regarded.

About You

You will have the following attributes:

- Great communication skills and the ability to manage relationships with many different types of stakeholders.

- A Facilities Management diploma or other relevant qualification, or equivalent work experience as a Facilities Coordinator in a corporate environment is preferred.

- A good understanding of facilities management operations and WHS compliance which you may have gained in an adjacent field.

- Familiarity with plant equipment and security systems is desirable.

- Experience with facilities management software would be highly regarded.

- Intermediate to advanced user of the Microsoft Suite is required.

- Proven understanding of safety and building compliance and regulations.
