Bay Building Services is a market leader in insurance building in Australia, operating nationally for 40 years and specialising in repairs to domestic and commercial properties damaged through insurable events.

Reporting to the National Makesafe Manager, this role will be responsible for the co-ordination and delivery of all Building Makesafe projects. You will be a SME for your specific clients, allowing you to own and manage this role from the start of the emergency to the end, once the building is safe and secure. This role includes duties such as registration of projects, triage of calls, general project administration, updating portals, engaging sub-contractors, direct trades and suppliers, collating supporting documents, managing ongoing hire items, reporting, invoicing, and debtors.

Responsibilities

- Maintain a comprehensive working knowledge of the scope required for each job
- Follow up payment of created invoices as per KPI requirements
- Engage, co-ordinate and manage trades and suppliers
- Monitor project progress and provide regular updates to involved stakeholders
- Preparation and sending purchase orders
- Create and update job programs/schedules
- Ensure completion of all documentation pertaining to the job

Key Capabilities

- Excellent time management and prioritisation skills
- Willingness to learn and be part of an agile and warm team environment
- Strong administrative skills, with written and verbal communication being key
- High attention to detail
- Insurance and/or construction experience is desirable
- Proven project coordination experience, preferably in emergency response, insurance, trade, or building works
- Strong verbal and written communication skills
- Interpersonal skills with an ability to deal with both internal and external customers, building long-term relationships
- Ability to develop business through quality service delivery

- Excellent customer service skills, with a background in a customer-facing role
- Professional and empathetic phone manner, with patience, understanding, and a sense of urgency
- Ability to increase productivity and bring new ideas to the team
- Flexibility, with availability to work on public holidays and adjust to evolving priorities
- Amazing organisational skills, with the ability to pivot and meet challenges
- Collaborative team player, with at least one year's experience in a similar role
- Able and willing to travel to the office, with a willingness to have a later start/finish time to cover the WA portfolio
