What you'll do

- Provide high-level administrative support to project teams by scheduling meetings, preparing comprehensive agendas, and maintaining meticulous project documentation to ensure smooth operations.
- Act as a reliable point of contact for internal and external stakeholders, facilitating timely and accurate communication regarding project updates, milestones, and deliverables.
- Maintain precise records of project activities, timelines, and progress using appropriate systems and tools to support effective project management.
- Assist in the preparation of regular project status reports, dashboards, and presentations tailored for senior management and key stakeholders.
- Support the identification and tracking of risks and issues within projects by escalating concerns as necessary to promote timely resolution and maintain project momentum.
- Coordinate procurement activities related to projects by raising purchase orders, liaising with suppliers, and ensuring compliance with organisational policies.
- Monitor project budgets by tracking expenditures against forecasts and providing detailed variance analysis to uphold financial accountability.
- Prepare thorough financial reports for projects including cost summaries, expenditure breakdowns, and funding utilisation updates to inform decision-making processes.
- Review and process invoices related to project expenses with accuracy, ensuring alignment with approved budgets and prompt payment cycles.
- Collaborate with project managers to develop robust financial forecasts based on current spending trends and anticipated future costs.

What you bring

- Demonstrated experience working within a government project environment where adherence to policy frameworks is paramount.
- Previous exposure to construction or infrastructure projects is highly regarded as it provides valuable context for supporting complex initiatives.
- Proficiency in SAP for financial management tasks such as budget tracking, invoice processing, and reporting.
- Advanced skills in Microsoft Excel for data analysis, variance reporting, forecasting support, and reconciliation activities.
- Strong interpersonal skills enabling clear communication with stakeholders from diverse backgrounds while fostering positive relationships built on trust.
- Excellent organisational abilities to manage competing priorities effectively while maintaining high standards of accuracy across all tasks.
- A collaborative approach that supports seamless integration of finance-related tasks into broader project workflows through teamwork and open communication.
- A keen eye for identifying opportunities to streamline processes related to both project administration and financial management for greater efficiency.
- Commitment to upholding compliance with organisational policies as well as relevant legislation or guidelines governing financial transactions within the public sector.
