Job Summary
We are seeking a proactive and bilingual (English-Spanish) Office Manager to oversee and coordinate the administrative operations of our company. This role is vital in ensuring the smooth day-to-day running of the office while maintaining compliance with internal standards and external regulations.
This is an on-site position based in Sunshine North (Melbourne), with working hours mainly Monday to Friday, during standard office hours.
What You'll Do
- Lead the planning, coordination and review of office services and operations
- Allocate staff, equipment, and workspace based on business needs
- Assign and monitor performance of administrative staff
- Manage records, accounts and compliance documentation
- Coordinate payroll, invoicing and expense tracking
- Manage rosters and communication with field teams using Connecteam
- Organise staff meetings and maintain internal communications
- Liaise with clients, suppliers and stakeholders to support daily operations
- Oversee building maintenance and ensure all equipment is operational
- Ensure compliance with occupational health and safety regulations
- Ensure all work meets applicable government legislation, policies and procedures
- Lead recruitment, onboarding, performance reviews, training and promotions
- Support the General Manager and provide effective solutions to administrative challenges
- Drive continuous improvement of internal systems and procedures
What We're Looking For
- Bilingual fluency in English and Spanish (spoken and written)
- Full-time working rights in Australia
- Minimum of a Bachelor's degree in Business Administration, Accounting, or a related field
- Minimum 1 year of experience in a similar office management or administration role
- Strong leadership and team coordination skills
- Excellent communication skills, both verbal and written
- Additional qualifications in Leadership, Management or Team Coordination will be highly regarded
- Proficiency in Microsoft Office and digital workplace tools
- Experience using Connecteam (required)
- Excellent attention to detail and ability to work independently
- Strongly desirable: experience in the cleaning industry, aged care, domestic assistance for the elderly, or similar service-based environments
