About the Role
This job requires a very deep understanding of the following systems with at least 50% of person time spent working with the systems. Those systems especially Progen are very complex and user-unfriendly, and person must have at least 1 year of experience working with them.
- PROGEN – Property Management System
- MASST – Project Management System
- COUPA – Financial Reporting and Accounting System
Another essential knowledge required experience of managing/assisting managing Serviced offices and Contract management. At lease one to two years required of experience in both areas.
Key Responsibilities
- Contract Management
- Draft, review, and manage contracts related to cinema refurbishment projects and leasing agreements for all EVT Limited tenants and properties.
- Ensure all contracts comply with legal and regulatory requirements.
- Maintain accurate records of all contract documents and correspondence.
- Project Support
- Assist the Project Manager in planning and executing cinema refurbishment projects.
- Coordinate with contractors, suppliers, and other stakeholders to ensure project timelines and budgets are met.
- Monitor project progress and report any issues or delays to the Project Manager.
- Client and Stakeholder Communication
- Serve as the primary point of contact for clients and stakeholders regarding contract-related inquiries.
- Facilitate clear and effective communication between the Project Manager, clients, and contractors.
- Administrative Duties
- Organize and maintain project documentation, including contracts, invoices, and progress reports.
- Prepare and distribute project updates and reports to relevant parties.
- Assist with scheduling meetings, site visits, and other project-related activities.
- Coordinate invoicing and billing for project-related expenses.
- Track project budgets and expenditures, ensuring financial accuracy and accountability.
- Assist in the preparation of financial reports and forecasts.
- Compliance and Risk Management
- Identify and mitigate potential risks associated with contracts and project execution.
- Ensure all project activities adhere to safety and compliance standards.
- Conduct regular audits of contract and project documentation to ensure accuracy and completeness.
- Identify opportunities for process improvements in contract management and project execution.
