As we continue to grow, so too does our team. We are looking for the right candidate to take on the role of Document Controller. This is a Full Time role, based at our Port Macquarie Office on the beautiful Hastings River in Port Macquarie, NSW.

The Document Controller is responsible for overseeing and guiding the technical data and document management strategy and operations across Maritime Projects in Birdon by using an understanding of data governance, data quality, and data architectur e.

Key Responsibilities

- Align document control policies and procedures including but not limited to document naming, numbering and filing processes for use across Project registers, including working with other project register owners to ensure quality and consistency in controls within Projects.

- Ownership, control and maintenance of document release approval and release protocols for project information to external parties

- Ownership and maintenance of Drawing registers, Action registers, Document registers, Engineering registers, Procurement registers etc.

- Working collaboratively with the owners of document control processes within other projects to provide consistent document control practices across Birdon

- Work closely with the project team to ensure that information and data is effectively managed and secured.

- Weekly and monthly health monitoring and report writing

- Supervision of all document control administrative tasks associated with multiple projects.

- Engagement with internal and external stakeholders in establishing clear lines of communication and meetings.

- Development and coordination of all external and internal correspondence including commercial letters and formal reports

- Collating all certifications and documentation for the vessels including AMSA, Class and certifying bodies

Qualifications, Skills & Experience

- Proven experience as a Document Controller receiving, managing and issuing project documents in a fast‑paced project environment with strong understanding of document control processes

- Clear and concise writing skills, for report writing, minute taking and presentation creation

- Strong organisational skills and demonstrated effectiveness handling multiple tasks, setting priorities, managing timeframes and meeting deadlines under pressure.

- Data collection and analysis experience

- Proficiency in MS Office

- Expert in MS Suite and Teams

- Highly proficient in writing reports and presentations and developing presentations

- 5 years of Project Management administration experience

- Defence and / or Shipbuilding Project Management experience

- Project Management administration experience with exceptional attention to detail
