About the Role

Are you a proactive and highly organised individual who thrives in a fast-paced environment? We are seeking an Executive Assistant & Operations Support to provide vital administrative and operational support to our executive leadership team across People & Culture, Retail Operations and Finance.

In this critical role, you’ll act as a trusted partner to our executives, helping them stay focused on strategic priorities while ensuring their daily responsibilities run smoothly. You’ll also collaborate closely across business units and support key operational activities such as conference planning, travel management, and office coordination.

Key Responsibilities

Administration Support

- Prepare high-quality documents, presentations, and reports, including monthly board reports

- Manage incoming emails and correspondence, prioritising urgent matters

- Coordinate meetings, including room bookings and catering arrangements

- Coordinate cross brand and department deliverable including board papers, incentives, service awards

- Print and distribute daily/weekly sales reports and statistical information

- Organise conferences, workshops, and special events

- Maintain confidentiality in handling sensitive information and records

- Support ad-hoc projects for the leadership team

Diary Management

- Proactively manage executive calendars, optimising time and ensuring all commitments are scheduled

- Conduct regular diary planning meetings to anticipate and prepare for upcoming events

Travel & Team Support

- Provide administrative support to executives and their teams

- Book and manage domestic and international travel

- Ensure all travel arrangements are accurate, and documents (passports, visas) are current

- Prioritise tasks, manage costs, and ensure accurate record-keeping

- Assist with preparation of Operations Manuals and presentation materials

- Partner with Retail and L&D teams to support planning and execution of annual conferences

- Manage conference budgets, vendor coordination, and deadline tracking

Office Coordination

- Oversee day-to-day office operations

- Maintain efficient office systems and procedures

- Understand company processes to support effective departmental operations

About You

- Have 5+ years’ experience supporting senior executives or in high-level administrative roles

- Strong skills in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)

- Calendar, travel, and inbox management

- Meeting preparation and follow-up

- Strong communication and interpersonal skills

- High level of discretion and confidentiality

- Understanding of retail operations and key seasonal calendars

- Excellent time management and attention to detail

- Ability to multitask and prioritise in a fast-paced environment

- Proactive, adaptable, and solutions-focused
