Working as part of the The Performance Group, your role is responsible to providing effective, responsive and efficient administrative support to the Vice President - Performance, and to the Team Leaders (and all the other team members) of the 5 teams that make up the Performance Group.

The Performance Group is part of Perenti’s Contract Mining division, and consists of 5 teams covering the functions of Mining Technology, Technical Services, Asset Management, Business Improvement and Growth Strategy (each with their own Leader). The Performance Group is led by the Vice President - Peformance.

**Key accountabilities & responsibilities**:

- Management and planning of the Vice President’s calendar and Team Leader’s calendars (including scheduling and preparation of meetings) to ensure these calendars are kept up to date and accurate, and any needs for rescheduling are managed proactively and effectively.
- Coordinating the preparation for, management of, and recording of actions of team meetings, and the follow up on those actions.
- Coordinating the input to management reports (and other reports) and ensuring the proper and timely collation and submission of those reports.
- Assistance with developing/collation and formatting of documents and presentations, including the development/inclusion of appropriate graphics/diagrams, and ensuring brand consistency, standardised formats, and correct and consistent use of language and nomenclature.
- Maintaining a well-structured and effective document filing system - utilising the Microsoft suite including Teams and SharePoint.
- Assistance with the maintenance of (and data input to) various databases, registers and systems for the various teams that form part of the Performance Group.
- Accurate and timely management of travel (and associated accommodation and vehicles) for all members of the Performance Group (including liaising with mine site administrators to ensure all relevant clearance documentation is issued to permit employee travel to those sites).
- Timely and accurate management of expense claims (and their reconciliation) for the Vice President and the Team Leaders.
- Arranging team events, and playing a key role in assessing and enhancing group morale.
- Arranging procurement of personnel protective equipment and other company-branded clothing/items.
- Arranging for pricing/quotations and raising of purchase orders, and arranging payment of associated invoices.
- Helping prepare proposals/tenders to external clients, and assist with the systems for reporting to those clients and invoicing them for work performance.
- Coordinating with other assistants and personnel from the Contract Mining division (and other divisions) including providing ‘back-up/relief’ assistance for their roles when required.

**Skills, Knowledge & Experience**
- Certificate IV Business Administration or a similar or higher qualification (desirable)
- Exceptional verbal and written communication skills
- Excellent time management skills, well organised and a very strong attention to detail
- High level relationship building skills with external and internal stakeholders, authorities, organisations & individuals.
- Ability to think laterally and work with a sense of urgency.
- Advanced skills in Microsoft Office Suite
