**Job description**:
This Federal Government department is seeking an
**APS6 Executive Assistant** to join the team in a permanent position.

The
**APS6 Executive Assistant** works to the needs of the executive within the Department. They are able to quickly build a successful partnership with their supervisor by using their emotional intelligence and utilising knowledge of the executive’s individual preferences. They are accountable, under general supervision and direction, to perform a range of administrative support work, within a reasonably fast-paced environment. They will have the ability to quickly attain an understanding of, and be compliant with, relevant legislative frameworks, government decision-making processes and policy requirements.

The Executive Assistant will provide a range of high level administrative support services, which includes, but is not limited to:

- Manage complex telephone enquiries and independently respond to internal and external queries requiring analysis.
- Independently manage competing demands, establish or renegotiate priorities and adapt flexibly to meet objectives, including monitoring and tracking, incoming documents and correspondence to ensure appropriate taskings are triaged and actioned accordingly.
- Provide quality assurance (including proof reading, editing and drafting) of documents such as briefs, minutes and other advice in accordance with departmental guidelines.
- Provide administrative support in a timely manner, including but not limited to, preparation, printing, collating and coordinating documents and other briefing material.
- Manage and undertake corporate functions including human resources, property and financial activities.
- Develop appropriate systems, procedures and controls to improve quality, efficiency and presentation of work within the Division.
- Undertake research and analysis, exercise sound professional judgement and use a common-sense approach when dealing with issues, problems, confidential and sensitive matters, ensuring diplomacy and discretion.
- Proactively assist, pre-empt, react quickly and flexibly to any changes in the executive’s schedule, including rescheduling to achieve the required outcomes.
- Screening telephone calls and referring matters to relevant business areas.
- Under broad direction, prepare meeting materials, correspondence, presentations and minutes, including the administration of critical, confidential and sensitive information.
- Management and maintenance of records management functions to ensure records are accurate, complete and are managed in accordance with departmental policy.
- Manage the Division by purchasing corporate stationery and office supplies, updating and regularly distributing contact lists, and undertaking other administration tasks and ad hoc activities for the executive as required.
- Diary management, including prioritising time and drawing attention to matters of importance.
- Manage travel arrangements, accommodation and supporting documentation, including acquitting corporate travel cards.
- Arrange and coordinate meetings with internal and external stakeholders, including managing venue bookings, audio visual equipment and other meeting resources as required.
- Liaise with stakeholders and assist with the resolution of complex and/or sensitive policy, project or operational issues, responding to their needs and expectations as required.
- Attend internal and external EA networking events/conferences.

**Qualifications and Experience required**:

- Demonstrated knowledge of and experience in an Executive Assistant role, or similar.
- Ability to use your judgement and initiative to solve problems.
- Strong attention to detail with the ability to carrying out tasks thoroughly and with accuracy and consistent high-quality.
- Excellent written and verbal communication skills with the ability to liaise, collaborate, build and maintain strong relationships with a range of stakeholders.
- Superior ability to self-organise, prioritise and manage time effectively. Strong knowledge of Microsoft office suite.
- An ability to produce quality work within short timeframes and with competing priorities.

**Essential requirements**:
Must be an Australian citizen and hold a minimum Basline security clearance.
