The Executive Assistant will provide and coordinate administrative support to the Chief Executive Officer (CEO) and the Board of Directors including: completing accurate and timely administrative functions, preparation and distribution of agendas and minutes, record keeping, diary management, travel/accommodation arrangements/schedules and minor project work as required.
The ability to multitask, manage conflicting work priorities and pre-empt the needs of the CEO and Board of
Directors are key requirements.
**Roles and responsibilities include, but are not limited to**:
Contribute to the efficient and effective management and provision of administrative and secretarial support services to the Chief Executive Officer, Board of Directors and sub committees
Provide support to the CEO:
- telephone calls including screening and recording of messages as appropriate.
- Ensuring mail relevant to the executive office is collected, sorted and delivered daily.
Meetings:
- Coordination of meetings as required.
- Accurate minute taking as required by the CEO, completed within 24 hours of meeting conduction.
- Preparation and distribution of materials for meetings as required.
Executive Team:
- Supporting the executive office through the development and implementation of necessary system
enhancements and modifications.
- Providing support to the Executive Managers as required.
- Booking NRCH Executive travel and accommodation as per policy/procedure.
**Key Selection Criteria**
Essential qualifications, attributes and skills include, but are not limited to:
- Certificate IV in administration or equivalent qualification or equivalent work experience.
- Relevant experience in a similar position or providing high-level executive administrative support within a large organisation.
- Demonstrated experience working in a fast-paced environment, maintaining a high level work performance.
- Ability to demonstrate initiative with high attention to detail and strong time management skills
- Demonstrated experience in providing support to a board of management, including Board package collation, Board agenda preparation and Board meeting minute taking.
Please note it is a requirement for all employees of North Richmond Community Health to demonstrate evidence of mandatory immunisations/vaccinations prior to commencement of employment, based on the Immunisation Category their position falls under.
