This is a unique opportunity within a unique industry. This opportunity could be perfect for someone that might not necessarily have much experience but is very eager to get into the events industry. Someone who can work efficiently, is hard working, great with time management and has a positive, friendly attitude.

This is also a great foot-in-the-door opportunity for a Uni or Tafe student completing or having completed online courses in event management or the like.

This position includes flexible work from home arrangements once your training is complete.

We execute successful private charters on our 3 vessels on Sydney Harbour. The private charters range from groups of 10 guests up to 150 guests across the vessels, spanning from corporate events to family days out, 30th Birthdays through to company Christmas parties.

You will be responsible for the bulk of the administrative duties in booking and coordinating charters for private groups on our vessels within Sydney Harbour. From initial enquiry and booking, right through to the creating the run sheet for the event and at times, attending those events where necessary. Liaising quickly and efficiently with third party agents and direct customers on their questions leading up to the charter, menu consultation, booking in relevant vendors and suppliers, compiling charter run sheets, sporadic site inspections and identifying upsell opportunities.

The role is focused on relationship-building and maintaining these with our trusted third party associates within the industry. As well as taking the initiative to do your homework on the industry and understanding our vessels features and best selling points in comparison to others. To then efficiently supporting the delivery of the charters/events, including all relevant daily administration and planning with a focus on finer detail and an overall positive and friendly attitude.

**Responsibilities and Accountabilities**:

- You will be the main point of contact for contractors and suppliers in the planning stages of each event throughout the week
- Communicate with clients promptly to create charters/events that meet their needs, including written and verbal communications and at times face to face meetings at the vessels when required to demonstrate facilities or a site inspection
- Update and maintain databases such as contact lists and client information
- Maintain our company’s positive reputation within the community and industry including with our agency partners - providing exceptional service and creating a memorable experience for clients
- Develop and maintain strong and profitable relationships with new and returning clients
- Promote our venue through personal and professional connections
- Submitting invoices to be raised by book keeper and issuing relevant documentation to clients for sign off prior to their charter. Ensuring these documents are captured prior to the day
- Coordinate charter logistics with relevant staff and contractors including bump in and out of vendors
- Oversee and support casual hospitality crew where required (step in as a crew member on the vessels if/when needed, or by choice if desired (additional hourly pay applied when outside of your regular work hours)

**Skills**:

- Outstanding communication skills, especially written and verbal
- Efficient computer and typing skills
- Proficient in using Microsoft Office programs (Word, Excel, Outlook)
- Familiar with CRM software is beneficial but not essential (training provided)
- Excellent time management and administration skills
- Easily adaptable to new software and systems
- Passionate about customer service, planning and executing successful events/functions
- Excellent presentation
- Ability to work and juggle multiple tasks in a fast-paced environment at times
- Self-motivated with an ability to work autonomously
- Ability to multitask between logistics on a number of functions at one time
- Ability to work within a small team with a collaborative approach to event planning and a willingness to assist across all areas of the business when required
- The ability to think on your feet to resolve a time sensitive issue
- Relationship management skills - build and maintain relationships with colleagues, clients and suppliers
- Incredibly organised with attention to detail
- Current Drivers Licence and own vehicle (driving to and from each vessel will be required to set up for events or for site inspections)
- Valid NSW RSA (or willing to obtain at our expense)
- Current First Aid Certificate (or willing to obtain at our expense)
