**ROLE**:
The Administration Officer Werribee provides administrative and communication support to ADEC staff in the Werribee office, and acts as the site coordinator and Warden.
The Administration Officer is the public face of ADEC and the quality and interaction of the incumbent will accordingly have a significant influence on how clients and visitors perceive ADEC as an organisation.

**DUTIES AND RESPONSIBILITIES**:
Reception duties at the Werribee Office:

- Provide clients and service providers with information regarding ADEC services.
- Support Administration Officers at other ADEC sites to collectively manage telephone, information and administration services across the whole organization.
- Post, receive and record mail.
- Order stationery and office supplies (including staff amenities and other consumables) in a timely way to ensure continuous stocks.
- Coordinate staff diaries and room bookings through the Outlook Calendar.
- Organise catering for meetings.

**Administration duties**:

- Conduct intakes for ADEC programs as required including referrals to alternative service providers.
- Maintain and reconcile a petty cash account.
- Manage ADEC fleet vehicles at Werribee.
- Arrange travel and accommodation, and prepare vouchers.
- Supervise Administration Assistants and volunteers.

**Site Management duties**:

- Appointed as Site Coordinator for the ADEC Werribee office.
- Appointed as Warden for the ADEC Werribee office.
- Appointed as 1st Aid Officer for the ADEC Werribee office.
- Document minutes of site management meetings.
- Organise maintenance and minor works for the premises in consultation with the Administration Officer at Preston.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Other duties as directed by the Administration Manager.

**KEY PERFORMANCE INDICATORS**:
The Administration Officer Werribee’s performance will be measured against the following indicators:

- Quality of ‘front of house’ presentation.
- Quality of support to ADEC staff and clients.
- Meeting the timelines of duties and quality of product as required.

**KEY SELECTION CRITERIA**:
**Essential**:

- Understanding and commitment to the objectives and values of ADEC, and the capacity to represent ADEC views as required.
- Hold a valid and current licence to drive a motor vehicle, issued by the appropriate authority in the jurisdiction in which the holder will drive, and appropriate to the type of vehicle to be driven.
- Well-developed organisational and administration skills, including strong attention to detail and the ability to prioritise and control own workload and complete tasks by due dates.
- An ability to interact proactively with management and staff at all levels of the organisation in the resolution of administrative support issues.
- Well-developed computer skills, including MS Office and database experience.
- Ability to work within guidelines and procedures.
- Ability to communicate with a variety of people from different cultures.
- Demonstrated knowledge of standard office systems and procedures.

**Desirable**:

- Previous experience as a PA or Executive Assistant.

**AWARD AND CLASSIFICATION**:
All ADEC employees are employed under the terms, conditions and entitlements of the Modern Award - Social, Community, Home Care and Disability Services Industry Award 2010 (the Award); and the National Employment Standards (NES). The classification for this position is Level 3.
