Our Melbourne Environment Team consists of over 120 people who work with private and public sector clients to deliver projects while promoting resilience, achieving compliance, and mitigating impacts and risks to our communities and natural environment. We are currently seeking an experienced and energetic Executive Assistant to deliver a high-quality service in supporting our senior leaders and Group Director in a range of coordination, administration and operations support.

In this role, you will be joining a dynamic team in which you will deliver a range of Executive Assistance tasks to assist the team achieve its business goals. Typical activities might include (but not be limited to):
+ Supporting the team with organising social and client events;
+ Coordinating team and client meetings;
+ Follow administrative processes and ensure the team complies with requirements;
+ Provide varied Executive Assistant duties as required to assist the team achieve its goals;
+ Utilising a strong working knowledge of software/database packages, including MS Office (Excel, Word, PowerPoint, Outlook) and other bespoke software;
+ Assist the team with record keeping and archiving project files;
+ Supporting the team with organising client events, travel, reimbursements/expenses and other administrative tasks;
+ Write and coordinate the development of reports, briefs, governance papers, project summaries and other documents, ensuring high-quality deliverables;
+ Assist with travel requests, expense reimbursements and other tasks;
+ Support in general formatting of external documentation to AECOM templates.

This is a role that will engage your proven Executive Assistant experience and involve your coordination and support to a variety of stakeholders and tasks, therefore we are looking for the following attributes:
+ Proven experience in an Executive Assistant function, supporting a group of professional and technical employees;
+ Strong and proven computer/database skills; MS Office suite experience with a high degree of proficiency in Excel, PowerPoint and Word;
+ Client focus and the ability to maintain confidentiality;
+ Proven work-alone-initiative and ability to prioritise work while meeting tight deadlines;
+ Excellent oral and written communication skills including the ability to develop comprehensive reports and submissions;
+ High levels of accuracy and attention to detail;
+ Proven background operating within major or global organisations, or Federal/State Government, advantageous;
+ Prior experience with an Engineering or Construction employer will be highly regarded.
