**Hours**: 22.5 plus additional hours during event season.
**Location**: Sydney CBD
**Purpose of the position**
The Office & Events Assistant works with the Events & Communications Officer and General Manager to administer several initiatives: the IFAC Handa Australian Singing Competition (aussing.org); ABC Young Performers Awards (youngperformersawards.org); Opera Awards (operawards.org); and the Rona Tranby Award & Collection (ronatranby.org.au) along with other activities. Though MOST organises various events throughout the year, the bulk of the work is office administration and communications work. The Office & Events Assistant must be comfortable with, and capable of, drafting large amounts of copy for internal and external audiences. This role would suit someone looking for long-term, regular employment.
**Responsibilities and duties**
**Office Assistance** -The MOST office hosts a small team of only three permanent staff members. The work is cyclical in nature as all initiatives are run on an annual or biennial basis. The Office & Events Assistant must be comfortable with working independently and with taking responsibility for assigned tasks. Duties include but are not limited to:
- assisting with daily operations including correspondence with the public; entrants; adjudicators; prize givers; event personnel; and suppliers
- some “receptionist” duties including answering the phone and door
- organising catering and travel for adjudicators as required
- processing competition entries including assessing eligibility
- drafting media releases
- preparation of adjudication material and entrant information packs
- composing invitations to adjudicators and VIP guests
- tracking award distributions and payments
- producing regular e-newsletters through Campaign Monitor
- updating WordPress websites throughout the year to ensure information is accurate and current
- regularly updating social media accounts to increase engagement
- corresponding with prize givers regarding winners and providing updates
- tracking prize recipients and recording confirmation of awards for following year
- writing letters of thanks to all participants
- updating and printing file lists
- updating Daylite database as necessary
- creating new files (as required)
- recording petty cash expenditure and maintaining accurate records
**Event Assistance** - The Office & Events Assistant works with the team to ensure events are run efficiently and to a professional standard. Events are held several times a year, generally between April and October (it is generally not possible to take long stretches of leave during this period). Event work involves long hours and is often physically taxing. If events are held outside of usual work hours, remuneration is generally in the form of time-in-lieu. Duties include but are not limited to:
- liaising with videographers; photographers; MCs; and graphic designers in the lead up to events to ensure delivery of essential services
- booking venues
- drafting scripts for events
- attendance of all live events
- assisting with set up at venues including placement of banners and other equipment
- managing arrivals at auditions
- organising catering for events
- assisting with supporting adjudicators including provision of refreshments
- stage management including following run sheet to ensure timely arrival of performers
- meeting and greeting guests at the post-event functions
- assisting with clearing venues after events
- posting social media at events
**CEO Support -**the Office and Events Assistant works closely with the CEO providing mainly secretarial support.
- drafting of correspondence on behalf of CEO
- organising meetings for CEO
- assisting CEO with general office duties as required
**Board Support -**MOST has a Board which currently has four Directors. The MOST office also assists with the coordination of the Rona Tranby Board of Trustees. Both Boards meet on a quarterly basis.
- liaising with Board Members and Trustees to arrange meetings (and drafting annual schedule of meetings)
- drafting agendas for the Board with assistance from the CEO and General Manager
- attending Board & Trustee Meetings to take Minutes when required
- preparing Minutes for Board
- updating relevant bodies when Board Member changes occur.
**Essential criteria**:
- high-level copywriting skills to assist in the preparation of online content, funding grants, printed programmes, scripts, correspondence and other written material including the drafting of board documents such as agendas and accurate minutes;
- project and time-management skills - in particular, the ability to balance multiple tasks with competing timelines and priorities;
- strong attention to detail with excellent proof-reading skills;
- experience with digital marketing and the management
