Our IT Group is on the cusp of an exciting IT transformation, promising transformative changes to our staff's mindset and work approaches.

As our IT Team Administration Assistant, you'll be the mastermind behind the scenes, ensuring our IT Group - including the CIO - operates with peak efficiency and has top-tier support. Step into the role of time management maestro As the linchpin of adept meeting coordination and support, you'll contribute significantly to optimising the schedule of our CIO and making sure operations run smoothly.

Working within the IT Capability and Planning team, your influence will extend to orchestrating the harmony of project and event coordination. Keeping a vigilant eye on pivotal projects, you'll ensure progress marches forward in sync with budgets and deadlines. You'll also be entrusted with the streamlined administration of our Training Academy, showcasing your talent for resource coordination and training registration efficiency.

Key priorities will include:

- Providing top-notch admin support to the CIO and Senior Leadership Team (where required).
- Managing CIO's calendar, prioritising tasks effectively.
- Participating in meetings, documenting notes, and tracking actions.
- Coordinating internal meetings, room bookings, and events for the CIO.
- Arranging meetings with external partners, handling greetings.
- Managing Promaster expense reconciliation for the CIO.
- Supporting Company Secretary for Board and Committee needs.
- Collating EXCO IT materials and presentations.
- Coordinating the 'IT' section of the quarterly Business Report.
- Managing team-wide contributions and Monthly Report distribution.
- Assisting in Board Paper Submissions as needed.
- Organising staff travel via Serko.
- Administering events like offsites, Hack Days, and IT Conferences.
- Coordinating catering and refreshments.
- Overseeing external course and service bookings.
- Allocating venues, trainers, equipment, and resources.
- Maintaining Training Academy records.

**About you**

You will:

- Have experience in supporting or providing administration support to a large IT team or similar (3 years’ is a general indicator).
- Be able to create high-level PowerPoint presentations and Executive/Board level documentation.
- Demonstrate excellent interpersonal and communication skills (written and verbal).
- Possess strong attention to detail with well-developed analytical skills.
- Have the ability to quickly learn software systems and be highly proficient in SharePoint, MS Teams, and MS suit of products.
- Be enthusiastic about embracing change and working in a fast-paced environment.
- Have exposure working in a Corporate and/or Insurance or Financial Services environment (highly regarded).
