About the position
Ambulance Victoria is currently seeking a suitably experienced Executive Assistant to provide a high level of support to the Chief Executive.
A key member of the Office of the Chief Executive, this position will be integral to the provision of a range of efficient, timely and confidential administrative and executive support services to the Chief Executive and will be required to act as the first point of contact for all enquiries, mail, and requests for the Chief Executive.
With accountability on the management of day-to-day activities to support the Chief Executive as well as workflow and office management of the Executive Office and administrative support officers, this position will be critical to
- All aspects of diary management and associated arrangements, scheduling, and bookings (i.e. meetings, travel, accommodation, events)
- Assigning and managing a range of administrative and clerical services including filing, records management, mail, maintenance of registers and databases and all associated stock and ordering requirements within the Executive Office
- Reviewing and preparing of correspondence, reports, and briefs to ensure all information is collated and disseminated as required in a timely and accurate manner
- Contributing to a safe, lawful, and respectful workplace culture through the modelling of ethical and positive behaviours consistent with the AV values

About you
Suited to motivated self-starter, the successful applicant will possess
- Extensive experience as an Executive Assistant or similar, providing support at the senior level, preferably to CEO's and/or boards in complex organisations such as government or healthcare
- Strong communication skills with an ability to build and maintain relationships and influence, negotiate, and generate buy-in with a range of stakeholders, both internal and external
- Effective written communication skills with the ability to write in an accurate, clear, and concise manner
- Demonstrated success in effective planning, organising and time management and meeting objectives and set timeframes

This position is graded at the AV4 level under the Ambulance Victoria (Management and Administrative Staff Enterprise Agreement 2021).
This position will be a permanent full-time position. Hybrid working options are available however it is essential that the successful applicant maintains a presence at our Doncaster headquarters.
