About the Opportunity
The Exhibition Producer oversees and coordinates the development and delivery of a range of exhibition projects, including major and minor shows, touring shows, displays and changeovers. They may also support stand-alone commissions, programs, site-wide activations, infrastructure projects and online exhibition experiences.
Key to this role is working with other Library teams, and internal and external stakeholders to deliver and maintain exhibitions and exhibition activities within project timeframes and budgets.
The Exhibition Producer is the central point for keeping project contributors informed, and coordinating and triaging tasks across staff, teams and contractors involved in any given project, in line with schedule and budget.
The Exhibition Producer is accountable for the following measurable outcomes:
- Coordinates the production and maintenance of high-quality exhibition projects within designated time frames and budgets, serving as the primary point of contact for the project.
- Engages with teams across the Library and external partners, including curators, to ensure the successful delivery of exhibitions.
- Coordinates the daily logistics associated with the delivery of exhibitions, including changeovers, touring and online exhibitions.
- Supports the operations and maintenance of exhibition spaces; provides exhibition maintenance plans.
- Contributes to the creation of schedules and timelines for projects, setting phase dates, milestones and deadlines.
- Administers financial and contractual processes for the project including creating, tracking and maintaining budgets, procurement, invoicing, RFQs, acquittals and other as required.
- Collates and develops project documentation including major phase gateway documentation and presentations including risk management and quality assurance processes.
- Communicates relevant information regularly with teams across the branch and library to ensure seamless delivery.
- Supports a process of continuous improvement by providing feedback through internal process reviews.
About You
**In addition, you will come to us with**:
- Tertiary qualifications in related field, or equivalent experience.
- Demonstrated experience in exhibition production co-ordination, or similar within complex cultural organisations, such a museums, libraries etc.
- Demonstrated experience in working with and creating clearly defined schedules in a similar setting, including managing emerging issues associated with coordination of conflicting timelines.
- Demonstrated experience in project management of events and exhibitions, preferably in arts, library or similar setting in a multidisciplinary team.
- Demonstrated experience in administering financial and contractual processes, such as creating, tracking and maintaining a budget.
State Library Victoria is a child-safe organisation. A valid Working with Children Check will be required before commencing.
