Coordinator (Commercial Property)

In the role of Coordinator (Commercial Property) you will be required to assist the Principal Advisor (Commercial Property) in the management of the TMR commercial rental portfolio. You will also provide high level administrative support to the staff within the Commercial Property team.
**Accountabilities include, but are not limited to**:
- Undertake complex administrative tasks in relation to the management function for state wide commercial properties (which can include industrial complex's, shopping centres, office complex's vacant land, stand alone shops, professional offices), including:
- Placing and drafting advertisements for properties which are vacant or about to become vacant to secure a suitable tenant as soon as possible.
- Showing prospective lessees through properties, then conduct a formal interview with them to ensure that than are suitable for leasing the properties. Then carry out financial, business and referee checks to ensure that information provided is correct.
- Preparing or where appropriate engaging legal firms to prepare tenancy leasing agreements (such as Leases, Commercial tenancy agreements, Licences to Occupy depending on the nature of the tenancy).
- Ensuring that tenancies are set up correctly in the department's property management system and in SAP so that rent can be received and allocated correctly
- Issuing of breach notices as required such as if the tenant fails to pay the rent or if the department requires vacant possession of the property
- Process the paperwork for lessees who are vacating ensuring that the rent is paid up to vacation date and the bond or bank guarantee is returned to the lessee or claim for payment of arrears or repair costs if necessary.
- Answer and respond to lessees enquiries and complaints in a timely and professional manner
- Prepare high level correspondence and documentation on a broad range of Commercial Property Management issues, including drafting Ministerial responses, drafting lease agreements and licenses and as directed, represent the Branch in relation to matters before the Court.
- Liaise with Real Estate Agents responsible for managing Departmental commercial properties outside of the greater Brisbane area and respond to rent arrear issues, maintenance requests, property inspections, lease renewals and other matters as appropriate.
This position reports to the Principal Advisor (Commercial Property).
