**Company Overview**: We are a dynamic and growing organisation dedicated to quality, customer service and reliability. We are seeking a highly dedicated and professional Secretary/Manager to support our director and contribute to the smooth operation of our company.
We are looking for an organised and proactive individual to join our team as a Secretary/Manager. In this role, you will work directly under the Director, handling a variety of tasks to aid in managing all aspects of the company.
This role is not your usual executive assistant position i.e. travel planning and event organising. We are looking for an individual capable of aiding in the general management of all parts of the business, and assisting the Director to run the company and some personal quests.
Your responsibilities will include:
**Executive Support**:
- Organise and maintain the Director’s calendar.
- Answering diverted phone calls of the director.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Typing dictation and file management.
**Administrative Duties**:
- Prepare and edit correspondence, reports, and presentations.
- Cultivation of weekly reports from different departments and preparing the file to submit to the director.
- Handle confidential information with discretion and professionalism.
- Provide general administrative support to the Director.
**Legal and Financial Management**:
- Assist in managing the company’s legal interests, including submitting claims, reviewing contracts, assisting lawyers with relevant information.
- Oversee personal finances for the Director, including budgeting and expense tracking.
- Liaise with legal advisors and other professional services as needed.
- Aid in managing conversations with debtors.
**General Management**:
- Assist in project management and follow up on tasks to ensure timely completion.
- Working with the office manager to ensure the office runs smoothly.
- Build and maintain strong personal relationships with key client stakeholders to ensure contractual compliance in service delivery, retaining and growing major customers.
- Be a core part of the leadership team with strong collaboration skills. Implement the strategic plan for the business unit.
- Work with key department heads to grasp an understanding on what’s going on in each department, and delivery updates to the director. Also be able to help with managerial duties in each department if requested.
- A ‘roll-up-the-sleeves’ leader who can create a high-performing team dynamic. Able to attract and retain the right people, and inspire team members to drive results.
- Perform other duties as assigned to support the Director and the company.
- Oversee daily operations, aid to implement policies, and improve efficiency.
**Qualifications**:
- Proven 5-10+years experience as an executive assistant, secretary, or similar role.
- Very Strong organisational and time-management skills, with an adept ability in prioritisation of tasks.
- Excellent verbal and written communication abilities.
- Ability to handle sensitive information with integrity and confidentiality.
- A proactive and flexible approach to work.
- Knowledge of legal and financial management is a plus.
- Full Microsoft suite proficiency
- Highly organised and can prioritise a constantly changing workload. Strong attention to detail, a mature and professional attitude.
Pay: $110,000.00 - $140,000.00 per year
