The Scientific Services department exists to ensure the continuity and quality of research undertaken at the Garvan and the Building Operations department exists to ensure the continuity and quality of building engineering services, the maximisation of the life of building fabric plant and equipment, minimising running costs of the same.

THE OPPORTUNITY

The Scientific Services & Building Operations Technical Officer/Administration Assistant will be responsible for data entry of all major and minor modifications and maintenance projects into our systems, assist in the quote and job management process, schedule appointments and jobs for the Scientific Services and Building Operations team, file and maintain records and undertake other duties and functions consistent with the area of work responsibility. Start times for this position is 9am - 5pm or 9.30am - 5.30pm.

**Salary**: Up to $80,000 + 11% super + salary packaging (dependent on experience)

Employment Type: Full time permanent

WHAT YOU WILL DO- Providing high-level administrative support to the Scientific Services Manager & Building Operations Manager and effectively manage the general day to day operations and administration activities.- Build and maintain a general knowledge of services offered by the Scientific Services and Building Operations teams to make informed prioritisation of queries.- Obtain quotes as requested by the Scientific Services Manager & Building Operations team.- Build and maintain an up-to-date understanding of initiatives and projects of the Scientific Services Manager & the Building Operations Manager to make informed triages of requests for information and action.- Assisting in the preparation of detailed reports, presentations, and documentation- Act as Secretariat for certain committees.- Maintain Operation’s meeting agendas.

ABOUT YOU

The key skills and experience include:

- Proven computer literacy and strong keyboard skills with speed and accuracy.
- Confidence in working with a range of software programs and proficiency using Microsoft Office (Excel a priority).
- Establishing and maintaining efficient administrative systems and procedures.
- General administration and support tasks as required.
- Proven experience working in a high workload and pressure area with successful track records.
- Demonstrated strong customer focus and commitment to providing exceptional services to all clients (internal and external to the organisation).
- Well developed time management and organisational skills with the ability to organise and prioritise workload.
- Other ad hoc duties as assigned by the Scientific Services Manager & Building Operations Manager.
- A degree is science highly regarded but not necessary.
