**PRINCIPAL ACCOUNTABILITIES**:
The Customer Service Administrator is responsible for:

- Attending to client work requests
- Organising the timely and most cost-effective completion of work requests
- Managing subcontractors accordingly to ensure work is completed as requested and within the time limits
- Answering phones / reception duties
- Setting up Simpro quotes and completing with maintenance manager
- Organising and following up on maintenance technicians and contractors to complete work requests
- Setting up jobs in Simpro and / or other internal systems including but not limited to templates, scripts, order numbers, notes, due dates, client details, work orders, tenant information etc.
- Providing client updates / photos/ reports
- General admin duties (employee packs, inductions, uniforms, stationary, resource folders) as required
- Updating the Programmed system or other client work order system (if required)
- Scheduling sub-contractors including raising and receipting purchase orders
- Assisting in scheduling maintenance technicians with team leaders
- Communicating and building relationships with residents / tenants / clients directly
- Assisting maintenance technicians in day-to-day queries
- Pricing jobs with assistance from management (if jobs are not profitable, they must be reported to a team leader)
- Raising invoices in the Simpro system and typing up scopes for invoices
- Re uploading those invoices to individual systems for clients (including but not limited to Officeworks/Salvation Army)
- Setting up additional notifications in Simpro (due date notifications)
- A sound knowledge of subcontractor database
- A high degree of organisational skills
- A flexible approach to each client’s individual business practises
- Completing work in a timely manner
- Sound computer skills
