What will your day look like

In this position you will provide administrative and operational support, these responsibilities would include (but are not limited to):
Diary management - inclusive of internal / external meetings, travel itineraries\logistics. Ensuring all documents are reviewed and printed prior to the meetings. Acting as the gatekeeper skillfully prioritising meetings, and orchestrating schedules with precision.
Travel management - inclusive of flights, transfers, visas, and accommodation bookings, ensuring cost effectiveness is always maintained / monitored.
Events management - coordinating and managing all catering and venue requirements for internal conferences, business forums and offsites (onsite\external) in Sydney, Melbourne, Singapore & India.
Expense management - Reconciliation of both Executives monthly expenses, ensuring the receipt and payment of invoices align to expense policy / ensuring all expenses are coded correctly to each live project.
Data Management - maintaining share drive & Confluence & MS Teams for Executives.
Business Support - provide administrative support to both Executives and their Leadership Teams. Assist with coordinating and executing monthly Townhall meetings, presentations and Newsletter distribution.
Delegation - Relief cover to CIO of Institutional Technology in Senior Executive Assistant’s absence.
Floor management - on/off boarding, building/data drive accesses.
What will you bring?

To grow and be successful in this role, you will ideally bring the following:
5 years’ experience as an Executive Assistant, including diary management at Executive level, travel and event management.
Demonstrated ability to use initiative. Proactive and utilize problem solving skills effectively by taking action and being persistent in addressing issues.
High energy, with a strong sense of urgency and drive for quality outcomes while creating a fun and engaging atmosphere in the team and department.
Excellent organizational skills, able to structure and prioritize the right tasks and juggle many things at once.
Comfortable with changes in a dynamic and fast-paced environment, able to adjust and adapt, find new solutions and maintain consistent positive energy and composure.
Service-minded and approachable, adept at listening to, understanding and being able to deliver effectively and efficiently on the needs of others.
Confident and engaged, with a passion for ensuring close collaboration within and across teams and the courage to challenge and improve our ways of working.
Proficient in Microsoft Office suite
Excellent written and verbal communication skills.
