Executive Assistant and Board Coordinator

**Administrative and Secretarial Support**
- Act as the first point of contact for the Chief People, Culture & Legal Officer and Company Secretary
- Prioritise workflow in consultation with the Executive including reports, business papers and all communications/correspondence
- Board director support including management of director travel arrangements for Board and Committee meetings, site visits etc
- Board and Committee meeting support including arrangement of catering, rooms, particular meeting requirements such as AV needs etc
- Governance support (e.g. management of Diligent Resource Centre)
- Ensure that confidentiality is maintained when exposed to or informed of private and sensitive information
- Effectively schedule and utilise the Executive’s work time through an electronic diary management
- Organise and book all aspects of Executive and Board director travel (and team travel from time to time)
- Undertake effective phone screening, prioritising information gathered in an accurate manner
- Prepare outgoing communications as required, ensuring communications are presented professionally and accurately and received correctly
- High level report or project writing as required to support the Executive
- Coordinate and organise events as requested including catering and booking any IT resources etc
- Organise internal and external meetings, ensuring resources are booked accurately, agenda prepared with any required supporting documentation / notes. Ensure minutes are captured with high accuracy in content with any required actions being undertaken and/or followed up. Ensure minutes are delivered within reasonable timeframes
- Support the Executive in strategic and business plan cycles, preparation of documents etc
- Notify the Executive immediately of matters that require their personal attention and/or matters that require escalation. In their absence refer them to the appropriate person such as the Chief Executive Officer of SCC, or other persons as nominated by the Executive.
- Expense reconciliations for the Executive and Board directors
- Assist in preparation of regular reports, documents and presentations
- Coordinate and provide administrative support for submission of information to relevant external bodies
- Perform other administrative tasks as required
**Documentation Management and Filing**
- Support and assist in the maintenance of corporate documentation.
- Maintain an effective and efficient filing system, hard copy and electronic.
**Customer Service & Stakeholder Relationships**
- Maintaining key internal and external stakeholder relationships to ensure own work requirements are met.
**Teamwork and Culture**
- Maintain professional behaviour at all times in alignment with SCC values, missions, vision and Code of Conduct
- Contribute to team meeting and team planning days in professional manner respecting other team members
**Work Health & Safety**
- Undertake all mandatory training in all areas of WHS as requested by SCC
- Report any incident, accident or near mishap within 24 hours as per SCC policies and procedures
- Comply with all SCC policies and procedures in WHS, Workers Compensation and Return to Work
- Contribute and comply with Return-to-Work programs as appropriate
- Report any potential workplace hazards
- Take preventative actions as appropriate as per SCC policies and procedures
- Consider all WHS aspects when travelling in accordance with SCC WHS policies and procedures
