**Summary of the Role**

Reporting to the Director - Industrial and also supporting our Chief Commercial Officer, the Executive Assistant plays a pivotal role in providing executive management and high-level administrative support. Attention to confidentiality, processes and efficient management of day-to-day activities, administration and practices are critical for this role.

This is a hybrid role where you will be working in our brand-new city office located on Pitt St 3 days per week and working from home 2 days per week.

**Key Responsibilities**

- Operate with confidentiality, discretion and a high-level of integrity and autonomy in managing communication
- Provide logístical support for stakeholder meetings, including coordinating agendas and papers, venues, catering and meeting minute taking
- Management of expenses, travel and events/marketing
- Effectively manage internal and external correspondence with stakeholders with a high degree of quality assurance, professionalism, accuracy and confidentiality
- Maintain and review processes and procedures and identify business improvement opportunities, ensuring adherence to Pickles policies
- Communicate internally and externally on behalf of the senior executive as required
- Understand critical or sensitive issues which may require the immediate attention of the executive

**Skills & Experience Required**
- Advanced Microsoft Office skills, including Trello and PowerPoint, with an ability to become familiar with in house programs and software
- Demonstrated experience in supporting multiple senior executives
- Highly organised with the ability to prioritise complex workloads, solve problems and self-manage time successfully
- Possess a positive, proactive attitude and professional and responsive approach
- Ability to work closely with the whole executive team and the other Personal Assistant roles
- Minimum 5 years’ experience in an Executive and/or Personal Assistant role for a senior executive
- Proven experience in providing efficient, confidential, diary and administrative services to multiple executives
- Excellent document management skills and proven capacity to coordinate tasks, determine priorities, monitor workflows and effectively operate as a member of a team in a pressured environment
- Well-developed interpersonal and concise communication skills, and ability to liaise and gain cooperation from internal and external stakeholders at all levels (staff, managers, executives)
- Demonstrated ability to prepare correspondence and manage confidential enquiries on behalf of various levels of management
- An understanding of the customer services requirements of the position and a demonstrated record of strong commitment and achievement in meeting customer need
