Brisbane, Australia Cross River Rail Delivery Authority Full time

Cross River Rail will transform the way we travel to, from and through Brisbane in the future. It will be a catalyst for 10 years of wider rail transformation across the whole of South East Queensland and it is already playing a key role in how we prepare for the 2032 Olympic and Paralympic Games.
Cross River Rail is a new 10.2km rail line including 5.9km of twin tunnels running under the Brisbane River and CBD. It includes the delivery of four new underground stations, two new above-ground stations, accessibility rebuilds for six stations, the construction of three new stations on the Gold Coast, and the introduction of a new world-class 'ETCS' signalling system.
This is a once in a lifetime opportunity to work on one of Australia's largest infrastructure projects and to be a part of something that will leave a lasting legacy for generations to come.
About the Role
The Administration Support Manager will lead a team of ten Administrative Support staff who are embedded with different Program Delivery business units. Each resource is assigned to a Director and provides a range of services including:

- executive assistant support (diary and mailbox management)
- meeting support and coordination
- documentation and correspondence creation, review, editing, and distribution
- document control
- reporting
- maintaining project registers and trackers
- governance support
- other ad hoc and regular duties

This newly created position will be taking over the direct leadership of these resources to create a true high performance team environment which creates capacity via continuous improvement and building an inclusive and collaborative service culture. With the support positions currently reporting into their assigned leader, there is great scope within our organisation for creating and establishing consistency, best practice and enhancement to how administration support is delivered to business units.
Working closely with senior leadership across the business you will quickly gain an understanding of our organisational context and how leaders and their teams can be best supported. You leadership and mentoring skills will ensure a comprehensive onboarding and training experience for new team members and ongoing developmental and skill enhancement opportunities over the longer term. The successful applicant will be working from our modern corporate office conveniently located in Brisbane's CBD. This opportunity will be offered as a contract until December 2025 with possible extension.

**Key Responsibilities**:

- Recruitment, selection, and onboarding of new administrative staff, ensuring their successful integration into roles.
- Develop individual and team capability.
- Build a team community, with a culture of collaboration, information sharing and inclusion.
- Understand the business priorities of each team's director and ensure their administrator has the skills, capacity and support to achieve requirements.
- Embed cross skilling to enable suitable coverage during periods of leave.
- Navigate business priorities and where appropriate, centralise or re-direct activities to ensure quality completion of work.
- Engage and seek feedback from Directors and teams on service delivery.
- Ensure that Program delivery's schedule of reporting deliverables and governance forums is maintained and managed in an effective and timely manner.
- Review administration duties, processes, and practices to identify opportunities for efficiency and quality improvements.

**About You**:

- Proven experience leading an administrative support function in a complex organisational environment.
- A continuous improvement focus, with the ability to enhance administrative processes and seamlessly implement change.
- Strong leadership and team building skills.
- Proactive and service oriented with the ability to anticipate business needs and navigate competing priorities.
- Strong relationship building and stakeholder engagement skills up to an executive level.
