Event Coordinator

**Job Summary**:
The Celtic Club of Victoria is seeking an experienced and highly organized Event Coordinator to plan, execute, and oversee a wide range of events and activities hosted by the club. The Event Coordinator will be responsible for managing every aspect of event planning, from concept to execution, ensuring exceptional experiences for members and guests.
**KEY RESPONSIBILITIES**:
- **Event Planning**_
- Conceptualize, plan, and coordinate a variety of events, including concerts, cultural events, private functions, and more.
- Develop event proposals, timelines, and budgets in collaboration with the management team.
- Secure necessary permits and permissions for events.
- **Logistics Management**_
- Coordinate event logistics, including venue selection, catering, entertainment, and décor.
- Manage event timelines, scheduling, and vendor relationships.
- Ensure that all event elements align with the club's goals and standards.
- **Promotion and Marketing**_
- Work with the marketing team to develop event marketing plans.
- Create promotional materials, such as flyers, posters, and social media content.
- Engage with members, guests, and external partners to maximize event attendance.
- **Budget Management**_
- Prepare and manage event budgets, tracking expenses and revenue.
- Negotiate contracts with vendors, ensuring cost-effective services.
- Monitor and report on financial aspects of each event.
- **Member and Guest Experience**_
- Provide exceptional customer service and address inquiries from members and guests.
- Ensure a seamless, enjoyable experience during events.
- Collect and respond to feedback to continuously improve event offerings.
- **Staff Coordination**_
Recruit, train, and manage event staff, including event assistants and volunteers.
Assign and oversee tasks and responsibilities for successful event execution.
- **Safety and Compliance**_
Ensure compliance with all relevant laws and regulations.
Implement safety measures and emergency protocols for events.
Address any issues or incidents that may arise during events.
**QUALIFICATIONS**:
- Bachelor's degree in event management, hospitality, or a related field is preferred.
- Proven experience as an Event Coordinator or in a similar role.
- Strong project management and organizational skills.
- Excellent communication and negotiation abilities.
- Proficiency in event management software and tools.
- Creativity, innovation, and attention to detail.
