About the Role

The Project:
Dematic is delivering a state-of-the-art warehouse and logistics automation project for one of Dematic’s global blue-chip clients with a project value in the mid-billion AUD. This major project contains 80,000 sqm of automated storage and retrieval systems (conveyer, racking, robotics) and will be executed from 2024 to 2028. Dematic will deliver the automation fit-out from in-house design (mechanical, electrical, controls and software) to completion, including installation, commissioning and testing to handover.

Job Overview:
As an Office Administrator, you play a crucial role in the smooth operation of the project office by managing administrative tasks, supporting various departments, and ensuring a well-organized and efficient work environment. You will be responsible for coordinating office activities, handling clerical duties, and providing support to staff members.

This role will be located at Notting Hill and also at the project site in Tarneit (for the onsite phase of the project). There will also be some flexibility to work from home once settled into the role.

**Tasks and Qualifications**:
**Key Responsibilities**

Administrative Support:

- Manage and organize office operations and procedures
- Assist in the development and implementation of office policies and procedures
- Handle general inquiries and provide information to clients, visitors, and staff
- Coordinate and schedule appointments, meetings, and events (preparing agendas and taking minutes)

Record Keeping:

- Maintain accurate and organized records, including filing systems, databases, and documentation
- Prepare and update reports as required by management

Financial Administration:

- Assist in budget management by tracking expenses and maintaining financial records
- Process invoices, expense reports, and reimbursements

**About You - What We Are Looking For**
- Proven experience in office administration ideally within the construction industry
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Knowledge of construction processes, terminology, and industry best practices
