This is an initial contract till 12 February 2024 with potential to extend, based in Brisbane CBD.

**Key responsibilities**:

- Administer project information portals including Sharepoint
- Manage project documentation on MS Teams ensuring key documentation such as contracts and SOWs are saved centrally
- Act as secretariate for all levels of program governance including meeting coordination, minute taking, decisions recording and action tracking. Assist in the preparation of reports and presentations
- Share relevant documentation and reports with project team members
- Being point of contact for various working groups
- Develop in-depth understanding of project scope and particulars i.e. timeframes, financials, outcomes
- Understanding formal escalation and review processes
- Provide support to Program Manager and Project Managers when requested
- Creating and reviewing of reports
- Ensure project compliance with standardized processes, systems and tools from the AOE for project excellence
- Manage team logistics in order to facilitate workshops and project delivery for a global team
- Assist in coordinating program financial activities
- Coordinate of onboarding activities for new starters
- Workspace planning - coordinating facilities management, staff relocations, maintaining seating plans and asset registers, team leave register.

**Qualifications and skills required**:

- Project coordination experience on global projects across multiple time zones
- Strong organisational skills
- Attention to detail
- Excellent communication skills with a can-do attitude
- Excellent coordination and time management
- Ability to work in a global environment
- Understanding of delivery methodologies such as PMBOK, Prince 2, MSP or Agile an advantage.
